I’m looking for a trustworthy person with a calm, professional, and cheerful demeanor to help me at my office. Insulation Unlimited is a small family business and we insulate homes in the Chattanooga area. You would work closely with me, the owner, every day to keep things running smoothly. Much of the time it will be just the two of us in the office. Much of the time you will be on your own. The core of your position involves the essential administrative functions required to keep the office in order. Once you learn your way around and understand the technical side of our industry and the way our company works, your job duties could expand according to your gifts or interests.

Essential qualifications include:

- High personal integrity

- Quickbooks knowledge

- computer literacy (internet / email, Word, Excel)

- attention to detail

- a self-governing work ethic

- excellent organizational skills

- a professional, positive, and calm demeanor

- bookkeeping experience

Below is a list of tasks expected of you, in no particular order:


- Invoicing / receivables

o Create and send invoices

o Create and send monthly statements

o Other collection action as required (phone calls, emails, etc.)

- Payables

o Enter bills

o Process and send payments

- Sales tax tracking and reporting

o Process material costing on completed jobs

o Compile weekly job costing reports

o Maintain sales tax tracking spreadsheets

o Report and pay sales tax online (TN and GA)

- Process deposits

o Enter payments and assemble deposits

- Additional areas of bookkeeping according to time, experience, and trust


- Phone support

o Answer phone and direct calls / take messages as required

- Process proposals

o Interpret work orders and compile and send proposals to customers, and maintain files for upcoming work and work-in-process.

- Building permits

o Download monthly building permit reports and compile into lists for estimators

- Filing and organization

o Maintain filing system and contribute to overall office organization

Miscellaneous, projects, etc.

- Occasional market research and analysis

- Occasional research into new materials and methods

- Help with web presence (new website, social media)

- Help with technological updates (cloud based scheduling, CRM, and estimating, etc., remote / mobile access to systems, etc.)
